How to communicate with employees who don’t have work email
Most office communication assumes an inbox. Most hourly employees don’t have one — or have one they never check. The good news: they all have a phone, and a few simple habits cover everything else.
Match the message to the channel
| What you’re communicating | Best channel | Why |
|---|---|---|
| Urgent: closures, call-outs, safety | Text message | Reaches every phone in minutes, no app needed |
| The schedule | Posted schedule or scheduling app | People need to look it up, not be told once |
| Policies and the handbook | Printed copy plus a link | Reference material, read once and returned to |
| Day-to-day updates | Pre-shift huddle | Two minutes face to face beats any message |
| Personal matters | One-on-one, in person or by call | Never in a group, never in a broadcast |
Text messages
Text is the one channel every employee already has. It needs no app, no account, and no data plan, and it works on a ten-year-old phone. Use it for things that have to land today. Don’t use it for everything, or it stops working for the things that matter.
The breakroom board
Unglamorous and still useful. A board works for things people need to look up — the schedule, the holiday hours, the safety poster. It fails for anything time-sensitive, because it only reaches people who walk past it.
Pre-shift huddles
Two minutes at the start of each shift reaches whoever is working. The gap is everyone who isn’t — part-timers, the weekend crew. Send a one-line text recap of anything important so the people who weren’t there aren’t the last to know.
Scheduling app messaging
If you already use one, its messaging is convenient. Delivery depends on each employee having the app installed and notifications on, which on most hourly teams is not everyone. More on texting vs scheduling apps.
Collect phone numbers properly at hire
Add a line to your onboarding paperwork: the employee’s mobile number and their agreement to receive work texts. Then confirm it with an opt-in text, so you have a record and they know what to expect. What consent should look like.
Reach the people without inboxes
Plain text messages to your whole roster, with opt-in and STOP handled for you. No app or account for employees.
